Pricing and billing
How much does TimoDesk cost?
$1 per user per month. Every feature is on that one plan. There are no tiers to compare and no upgrades to buy.
Is there a free trial?
Yes. Every new organization gets a 15-day free trial with every feature. You can use TimoDesk with your team before you pay anything.
Do I need a credit card to start the trial?
No. You can set up your organization and try every feature first. TimoDesk never saves a card. When an invoice arrives, you pay it by card or from account credit.
How is the per-user price calculated?
By who tracked time. Each member the desktop app tracked during the month is billed $1. Someone you invited who never started the timer is not on the invoice, and time added by hand alone does not count.
When am I charged?
After each billing month. TimoDesk sends an invoice for the members who tracked time. If your account credit covers it, it is paid from credit. You never pay for a month before you use it.
What happens if an invoice is not paid?
If an invoice is still unpaid 7 days after it is created, the organization is suspended. Tracking stops and only billing stays open. Pay the invoice and access comes back right away.
Can I remove members later?
Yes. An organizer or manager can disable a member at any time. This ends their access and stops their tracking. A disabled member is billed only for a month in which they tracked time.
Is there a minimum team size?
No. There is no seat minimum and no annual contract. A team of three people can start today.
Does TimoDesk have an affiliate program?
Yes. You earn $10 in cash for each organization you refer, once that organization has paid TimoDesk $10 or more. There is no minimum payout, and you do not need a TimoDesk subscription of your own.
Monitoring and privacy
Are screenshots on for every member?
Yes. Screenshots start on for every new member and are taken while the timer runs. An organizer or manager sets them per member, or selects the whole team on the Team Tracking Policy page and changes them at once.
How often does TimoDesk take screenshots?
Every 3, 5, 10, 15, 20, 30 or 60 minutes, as you choose. The organization sets one interval, and you can change it for a single member.
Are employees told when a screenshot is taken?
Yes, if you turn on the screenshot alert. The alert tells a member each time a screenshot is taken. You can turn it on for the whole organization or for one person.
Do employees know when tracking is running?
Yes. The desktop app shows whether it is tracking on that computer. When a manager turns a member's tracking or screenshots on or off, the app tells that member.
Does TimoDesk record keystrokes?
No. Activity levels come from how often the keyboard and mouse are used, never from what is typed. There is no keystroke logging anywhere in TimoDesk.
Who can see our time tracking data?
It depends on the role. Organizers and managers see the whole organization. A team manager sees only the teams they manage, and a member sees their own data. A member you make a project leader also sees that project.
Can employees see their own data?
Yes. A member can open their own tracked time and activity. They can also download their own monthly timesheet as a PDF.
Is our data encrypted?
Yes, in transit. The desktop apps, the dashboard and our servers talk over HTTPS. Our Data Policy explains how data is stored and who can access it.
Can we store screenshots on our own servers?
Yes. The organization's owner can send screenshots to your own Amazon S3 bucket or FTP server instead of TimoDesk's storage.
Timesheets and manual time
Can employees edit their tracked time?
No. Nobody can edit a tracked session, including the owner. Time added by hand is approved by the organizer, or by a manager or team manager if the organizer allows it, or right away if auto-approval is on. It always stays marked as manual, so it is never mixed up with tracked time.
What if someone worked with the timer off?
They request the time as manual time. Manual time is off until the organizer turns it on. The organizer also chooses who approves: only the organizer, managers too, or team managers for their own teams. Auto-approval can be on for everyone or for one member. The organizer can cap each entry at 1 to 8 hours and 1 to 30 days back.
Does TimoDesk send invoices to my clients?
No. TimoDesk is not a billing tool. It gives you the timesheet you build your invoice from. The invoices in your account are for your own TimoDesk plan.
Can I export timesheets?
Yes. Monthly timesheets export as PDF for each member, ready to attach to an invoice or send to payroll. The time and activity, app usage, website and performer reports export as PDF or CSV.
Setup and platforms
Which operating systems does TimoDesk support?
Windows, macOS and Linux, with a desktop app for each. The Mac app comes in Apple silicon and Intel versions. There is also a web dashboard and browser extensions, but no mobile app.
How do people join my organization?
By invitation. Send an email invitation, share an invitation link, or add a member directly with a password. Anyone who joins with the link waits for approval before they can track time.
Does TimoDesk work offline?
Yes. The desktop app keeps tracking without a connection and syncs when the computer is back online. Time syncs as long as the app reconnects within 30 days.
How does idle time work?
The timer stops counting after no keyboard or mouse use for your idle timeout. You can pick 3, 5, 10, 15, 20, 30, 45 or 60 minutes, for the organization or per member.
Do I need to install anything first?
No. The installers are signed and include everything they need. There is no framework to add first and nothing extra for IT to approve.
How long does setup take?
A few minutes. That is enough to create the organization and invite your first members. Hours, activity levels, screenshots and app usage are recorded as soon as a member starts the timer, so tracked time shows the same day. The first full-day reports are there the next day.
Features and reporting
Can I track time by project and task?
Yes. Projects and tasks are built in. Hours are saved against the task a person is working on, not just the day.
Does TimoDesk include project management?
Yes. Every project has a kanban board, a list view and a calendar view. You add, rename, color and reorder columns, and drag tasks between them. Tasks have a priority, start and due dates, estimates, labels, subtasks, comments and one or more assignees. Time is tracked on each task.
Can I give someone access to just one team?
Yes. Put members in a team and make that person its team manager. A team manager sees only the teams they manage, while organizers and managers see everyone.
What reports does TimoDesk include?
Time and activity per member and per project, app and website usage, time calendars, project timing, and top and low performers. The time and activity, app usage, website and performer reports export as PDF or CSV.
Does TimoDesk send a weekly summary email?
Yes. Everyone who tracked time gets a daily summary email, and a weekly one on the first day of your work week. Members see their own week. Organizers, managers and team managers see the people they manage.
Can I share reports with a client?
Yes. Download the monthly timesheet as a PDF for the whole team or one member, and send it with your invoice. You can also give each client a login that shows only the projects you assign to them. Every client sees a dashboard, and the organizer chooses the other screens, such as time and activity, tasks and screenshots. Screenshots, app usage and websites are off for a new client until you turn them on.
Does TimoDesk integrate with other tools?
Not yet. If your work depends on a specific integration, ask us before you sign up.
