What do untracked hours cost you?
TimoDesk's free time tracking ROI calculator shows teams and agencies what unrecorded and unbilled hours cost each year, compared with TimoDesk at $1 per user per month. The formula is shown below.
Admin time nobody logs, work done but never invoiced, and hours guessed from memory at the end of the week.
Tracking shows you the lost hours, but it won't recover all of them. The 60 percent default is cautious. Change it to fit your team.
- Leaked value per year $72,450
- TimoDesk cost per year $180
- Net benefit $43,290
- Return on cost 242×
The time tracking ROI formula
The estimate multiplies five numbers. You set four of them, and we set one: 46 working weeks. There is no hidden model or industry benchmark, so you can check every step with a basic calculator. The cost is simpler: your headcount times $1 per user per month, times 12.
-
People How many people on your team would track time.
-
Hourly rate Your billable rate, or what each hour of work costs you.
-
Lost hours Per person, per week. You choose this number.
-
46 weeks 52 weeks minus 6 for time off, sick days, and public holidays.
-
Recovery The share of lost hours you expect to recover.
Four limits to keep in mind
A calculator on a vendor's website is only a starting point. The better test is one month of your team's real hours in time tracking and reports.
- We chose 46 weeks, not 52 Six weeks come out for time off, sick days, and public holidays. Using 52 weeks would make the result about 13 percent higher than it should be.
- You set the recovery rate The slider starts at 60 percent, and you can lower it to 10. No tool recovers every lost hour. A calculator that assumes it does is not giving an honest estimate.
- The lost hours are your guess Most teams guess too low, but nobody can check this number ahead of time. Treat the result as a rough range.
- Some real savings are left out Less time on payroll admin, faster invoicing, and fewer disputes over hours all save money. None of them is counted here, so the estimate is lower than it could be.
About the ROI math
What goes into the estimate, what it leaves out, and what TimoDesk costs.
How do I calculate the ROI of time tracking?
Multiply lost hours per person per week by your hourly rate, your headcount, and 46 working weeks. Then multiply by the share you expect to recover. Subtract the yearly software cost to get the net benefit.
What counts as untracked or unbilled time?
Any hour that was worked but never recorded or never invoiced. Common examples are admin work nobody logs, client work left off an invoice, and hours guessed from memory at the end of the week.
Why does the calculator use 46 weeks instead of 52?
To allow for time off. Six weeks come out for vacation, sick days, and public holidays. Using 52 weeks would make the result about 13 percent higher.
Is the result a guarantee?
No. It's an estimate based on your own inputs, so treat it as a range, not an exact figure. The best test is one month of your team's real tracked hours.
How much does TimoDesk cost?
$1 per user per month. There's one plan with every feature, no seat minimum, and no annual contract. You're billed monthly, only for members who tracked time that month.
