The TimoDesk Time Calendar and Monthly Timesheet put a full month of tracked time on one screen. The calendar shows one box per day with hours, members and projects. The monthly timesheet shows one row per member and one column per day, with totals, clock in and clock out times, and a PDF export.
A week is easy to hold in your head. A month is not. By the fourth week, nobody remembers whether the quiet Tuesday was a public holiday or a timer someone forgot to start. These two pages answer that without a spreadsheet.
Time Calendar vs Monthly Timesheet: which should you use?
Both pages live under Analytics in the sidebar, and both show one month at a time. They answer different questions.

What does the Time Calendar show for each day?
Open Time Calendar and you get a classic month grid. The week starts on the day your organization has set as the first day of the week, and today is marked so you can find your place quickly.
Every day box carries three things:
- The total time tracked that day, in hours and minutes. A day with nothing tracked shows 0:00 in a muted style.
- Members: how many people tracked time that day.
- Projects: how many different projects the time went to.
The grid always shows six full weeks, so you will see a few days from the months before and after. Those days are dimmed, and only the days of the selected month can be opened.
One person's calendar shows activity instead
Pick a single person in the member dropdown and the boxes change slightly. There is nobody to count, so the member count is replaced by that person's Activity percentage for the day, next to the number of projects they worked on. Members who open their own calendar see it the same way.
This is a quick way to read one person's month before a review. For everything else about one teammate, the member details page goes deeper.
How do you see who worked on a given day?
Click the Members or Projects figure on any day that has tracked time. A panel opens with the date as its title and a one-line summary, such as how much time was tracked, by how many members, across how many projects.
The panel has two tabs, each with a count:
- Members: every member who tracked that day with their Total time. Open a member to see the projects their time went to.
- Projects: every project worked on that day with its Total time. Open a project to see which members contributed.
Both lists are sorted with the longest time first, so the biggest items are always at the top. When the calendar shows one person, the panel skips the tabs and lists that person's projects for the day.
How do you move between months?
There are two ways to change the month, both at the top left of the page:
- Use the arrow buttons to step one month back or forward.
- Use the month dropdown to jump straight to any month.
The dropdown starts at the first month with tracked time and ends at the current month. The forward arrow switches off when you reach the current month, because there is nothing to show yet. The member filter stays in place while you move around, so you can follow one person back through several months without setting it again.

What does the Monthly Timesheet show?
The Monthly Timesheet is the page for comparing people side by side. It is a wide table: the Name column on the left, one column for every day of the month, and three summary columns on the right.
Each day cell shows the hours that member worked. With Show in/out times switched on, the cell also shows two times underneath: the start of their first tracked session that day (Clock in) and the end of their last one (Clock out).
Switch Show in/out times off for a more compact sheet. In that mode, hovering over a worked day (or tapping it on a phone) opens a small card with the member's name, the date, and their In, Out and Worked figures. Your choice is remembered in that browser.
The sheet lists every active member you are allowed to see, including people who tracked nothing that month. An empty row tells you something too.
Absent days and holidays
A legend above the table explains the empty cells. There are two kinds:
- Absent: a past day where this member has no time, but someone else in the sheet tracked.
- Holiday (nobody tracked): a past day where no one tracked any time. The column header shows Off instead of the weekday name.
Holidays are worked out from the tracked data. You do not enter them anywhere. Days that have not happened yet are treated as upcoming, so they never count as absent.
The totals
Four cards above the table sum up the month in view:
- Month Days: the number of days in the selected month.
- Total Time: all time tracked by the members in the sheet.
- Average Time: the average length of a worked day, across every member and day with tracked time.
- Average Activity: the average activity level for the month.
At the end of each row you get the same idea for one person: Avg (their average per worked day), Total (their hours for the month) and Worked Day (how many days they tracked on).
If your organization has turned on manual time, approved manual hours count toward these totals. The timesheet does not mark them as manual, so check the dashboard or the screenshots page if you need to tell them apart.
How do you highlight short and long days?
Click Highlighter to color the sheet by how much time was tracked:
- Enter an Above limit, a Below limit, or both, in hours and minutes.
- Click Check Time.
- Days above your upper limit turn green and days below your lower limit turn red. Empty days are left alone.
If you set both, the Above limit has to be the larger of the two. A practical setup: set Below to your minimum expected day and Above to the point where overtime starts. Short days and long days stand out without reading a single number.
How do you export the Monthly Timesheet as a PDF?
Click Export to download the month on screen as a PDF. You choose between two layouts:
- Overall: the whole team in one landscape sheet, with the month's summary figures at the top and every member's days, average, total and days worked below.
- User wise: one page per member. Each page shows Present Days, Absent Days, Avg / Day and Total Time, followed by a Work Calendar for the month.
If you have set the Highlighter, the same limits carry into the PDF, so the printed sheet is marked the same way as the screen. Month navigation works like the calendar: arrows for one step at a time, and a dropdown that runs from your first tracked month to the current one. Who can see whose data?
Both pages follow the same access rules as the rest of the workspace:
- Organizers and business managers see every member in the organization on both pages.
- Team managers see themselves and the members of the teams they manage. The member dropdown, the day totals and the timesheet rows are all limited to that group.
- Members without a management role see only their own Time Calendar. They have no member filter, and the Monthly Timesheet page is not available to them.
Members still get a record of their own. On their Time Calendar, a Download button takes the place of the member filter. It downloads a personal timesheet PDF for the month on screen, with present days, absent days, average per day and total time.

A simple month-end routine
Here is one way to use the two pages together when the month closes:
- Open the Time Calendar and scan for days that look unusually light or heavy. Open them to see who and what was behind the number.
- Open the Monthly Timesheet and set the Highlighter to your expected working day.
- Check the red cells and the absent cells, and ask about any you cannot explain. If manual time is turned on, a forgotten timer can be fixed with a manual time request that a manager approves.
- Export the Overall PDF for your records, and the User wise PDF if each person needs their own page.

Frequently Asked Questions
How do I see a monthly timesheet for my whole team?
Open Monthly Timesheet under Analytics in the sidebar and pick the month. Every active member you can see is listed in one table, with a column for each day and their average, total and worked days at the end of the row.
Can employees download their own monthly timesheet?
Yes. A member without a management role opens their Time Calendar, moves to the month they want, and clicks Download. They get a PDF of their own timesheet for that month, with present days, absent days, average per day and total time.
Does the Monthly Timesheet show clock in and clock out times?
Yes. With Show in/out times switched on, each worked day shows the start of the member's first session and the end of their last session, next to the hours worked. With it off, you can hover over or tap a day to see the same times.
How does TimoDesk decide a day is a holiday?
A past day with no tracked time from anyone in the sheet is marked as a holiday, and its column header shows Off. It is based on the tracked data, not on a holiday list you maintain, and future days are never counted as absent.
Can I export the Monthly Timesheet to Excel or CSV?
The Monthly Timesheet exports as a PDF, in the Overall or User wise layout. There is no CSV option on this page. If you need a spreadsheet, the Time & Activity report exports as CSV for any date range.
Can I look at previous months?
Yes. Both pages let you step back one month at a time with the arrows, or jump with the month dropdown, as far back as the first month your organization tracked time.
See the whole month, not just the total
