The TimoDesk task board is a Kanban board built into every project, with List and Calendar views of the same tasks. You plan work in sections, set assignees, priorities and due dates, and see the time tracked on each task, because the board holds the same tasks your team tracks time on in the desktop app.
Most teams keep the plan in one tool and the hours in another. Someone copies task names between them, and nobody can say which estimate was wrong. The task board puts the plan and the tracked time on one screen.
What is the TimoDesk task board?
Every project has its own board. To open it, click Board in the project's Action column on the Projects page, or click Open Board on the project's details page.
The board shows the same tasks in three views. You switch between them in the bar at the top, and Kanban is the default.

How do you organize a board with sections?
Sections are the columns of the board. A new project starts with one section, To Do, and you build the rest of your workflow with Add Section at the right end of the board.
You might add In Progress, Review and Done. You might use sprint names or client phases instead. The board doesn't force a workflow on you.
Organizers, Business Managers, Team Managers and project leaders can:
- Add a section. A name can have up to 60 characters, and two sections in the same project can't share a name.
- Rename a section by clicking its name.
- Pick a section color from the section's options menu.
- Drag sections by their handle to reorder them.
You can't delete a section, so pick names you're happy to keep. Team Managers have these rights on projects their teams work on, and project leaders on projects they lead. Not sure who counts as a project leader? See what team managers and project leaders can access.
How do you add and assign tasks?
There are two main ways to add a task, depending on how much you know about it.
Quick add from a section
Click Add task at the bottom of a section, type a title and press Enter. The box stays open for the next one, so you can empty your head onto the board during planning. Tasks added this way get Default priority.
Add a task with details
The Add Task button in the top bar opens the full form. Give the task a title and pick who will work on it, then open Advanced Configuration for the rest:
- Description: optional, with Markdown for headings, lists and bold text.
- Section: where the task sits on the board.
- Priority: Default, Low, Medium, High or Urgent. The form starts on Medium.
- Start date and due date: the start date can't be after the due date.
- Labels: up to 10 per task, shared by every project in your organization.
- Estimated time: in hours and minutes.
You can only assign active members of the project, so add people to the project first.
What staff can do
Staff can add tasks too. A task they add is assigned to them and gets Default priority, so it shows up in their own work right away. Priority, dates, estimates and assignees stay with the people who manage the project's tasks. That keeps scheduling decisions with the people who own the plan, while anyone can still capture work the moment it appears.
How do you move and filter tasks?
In Kanban view, drag a card to another section to move it, or up and down to change its place. Everyone sees the new order, and a move between sections is logged in the task's activity. Staff can only drag tasks they created or are assigned to.
Each card shows the facts you need at a glance: labels, assignees, priority, dates, subtask progress, comment count and tracked time. A ring around an avatar means that person is tracking time on the task right now. If cards feel busy, switch from Detailed to Compact, which keeps the title and key facts.
Filters that answer everyday questions
The toolbar has a search box and a row of filters:
- What's late? Filter due dates by Overdue, Due today, Due in 7 days or No due date.
- Who has what? Pick a member, or choose Unassigned to find tasks nobody owns. Only people who manage the project's tasks see this filter.
- What's being worked on now? The Working now option lists tasks someone is tracking time on at this moment.
- What matters most? Filter by priority or by label.
- What's left? Choose Incomplete, Completed, Important or Archived.
Star the tasks that matter to you
The star on a card marks a task as important. It's a personal bookmark: only you see your stars, so you can keep a shortlist without changing anyone else's board. Filter by Important to see them.
How do the Calendar and List views work?
The Calendar view places tasks on their dates. A task with a start date and a due date spans the days in between. Hover over a task to see its dates, who's on it, and whether it's completed or overdue.
You can switch between Month, Week and Agenda. Open tasks with no dates sit in a No due date panel. Organizers, Business Managers, Team Managers and project leaders can drag one onto a day to schedule it, or drag a task to a new date.
The List view is the same board as a table. Tasks are grouped by section, and you can collapse each group. Columns show assignees, priority, labels, due date and time, and the time turns red when a task goes over its estimate. That makes it a good view for a review meeting.
What can you do inside a task?
Click a task to open its details on top of the board. Every change saves as you make it.
- Subtasks: break a task into steps and check them off. The card shows progress, for example 2/5.
- Comments: post updates with Markdown, and type @ to mention a teammate, who gets a dashboard notification.
- Activity: a log of changes such as moves between sections, new assignees, date changes and completion.
- Time: the time tracked on the task next to its estimate, and how far over it is once the estimate is passed.
People who manage the project's tasks also see an Analytics button. It opens the task's analytics page, with who worked on it, when, and which apps and websites they used. The tasks guide covers every field.
How do you complete and archive tasks?
Click the check on a card, or Mark complete in the task's details, when the work is done. Completion is separate from sections. A completed task stays in its column, and moving a card doesn't complete it.
One click completes the task for everyone on it. If it was closed too early, click again to reopen it.
Archive a task you want out of the way. An archived task leaves the board and members' desktop apps, but its tracked time, assignees and completion stay. To bring it back, choose Archived in the status filter, open the task and click Unarchive. You can't delete tasks, so archiving is how you clean up.
How does the task board connect to time tracking?
This is what a separate task tool can't give you. The tasks on the board are the same tasks your team sees in the TimoDesk desktop app for Windows, macOS and Linux. Each member sees the tasks assigned to them in the projects they're on, and from the app they can:
- Start the timer on a task.
- Add a task by typing a name. It lands in the board's first section, assigned to them.
- Move a task to another section without opening the browser.
- Mark a task as completed.
Time tracked in the app shows on the task's card and in its details, next to the estimate. Staff see their own time, Team Managers see their team's time, and everyone else sees all of it. What happens to tracked time when I archive a task?
Nothing is lost. Archiving hides the task from the board and the desktop apps, but its tracked time, assignees and completion stay, and the time still shows in your reports. Choose Archived in the status filter to find the task and unarchive it.
