5 TimoDesk Reports Every Manager Should Check Weekly

The five TimoDesk reports every manager should check weekly are Time & Activity, Member Timing, App Usage, Websites & URLs and Low Performers. Together they show how much your team worked, what each person spent time on, which tools and sites the work happened in, and who may need support first.

Checked in the same order every week, these reports tell you far more than any single total, and the whole routine takes about ten minutes.

How do TimoDesk reports work?

The reports in this guide sit in three sidebar groups: Activity, Analytics and Performance. They share a few controls, so it helps to learn them once.

  • Date range: each report has a date picker with quick choices for Today, Yesterday, Last 7 Days, Last 30 Days, This Month and Last Month. You cannot pick a date in the future.
  • Member filter: most reports have a dropdown that starts on All Members and narrows the view to one person. Low Performers is the exception, since it ranks everyone.
  • Rows that open: most reports are built as a tree. Click a row and it opens to the next level, such as the members behind a date or the days behind an app.
  • Export: where a report has an Export button, the file follows the dates and filters you have set.

Most of these reports open on the last 30 days. For a weekly review, switch the date picker to Last 7 Days first. You can see how the reports fit together on the reports and analytics feature page.

Who can see which report?

Organizers and business managers see the whole organization. A team manager sees their own time plus the members of the teams they manage. Members without a management role only see their own data in Time & Activity, App Usage and Websites & URLs, so they get no member filter.

Member Timing and the Performance pages are for managers only. For more on scoped access, read how team managers and project leaders see their own part of the workspace.

What does the Time & Activity report show?

Start here. Time & Activity is the widest view of the week, and it gives you the numbers you will compare everything else against.

The cards and the table

Four cards sit at the top: Total Worked Time, Average Activity, Active Members and Avg Hours / Member. Below them, a table shows Total time and Activity for every row.

You choose how the table is grouped: Group by Date, Group by Member or Group by Project. Each grouping opens two levels deeper. A date opens into its members and then their projects. A member opens into dates and then projects. A project opens into dates and then members. You can also switch the order between Newest First and Oldest First.

What to look for

  • Total Worked Time against last week. A big swing in either direction deserves a question before it becomes a pattern.
  • Days with low activity. Group by date and scan the Activity column. One weak day is normal. A whole week trending down is worth a conversation.
  • Active Members. If the number is lower than your headcount, someone did not track at all.

One detail matters when you read the activity figure. Manual time has no activity data, so it is left out of the activity average instead of pulling it down. If your team uses manual time requests, the percentage still reflects only the time the desktop app measured.

Export options

The Export button offers PDF or CSV at two levels of detail. Summary only gives one line per group with the total time. With breakdown includes every member, project and day. A PDF with the breakdown can cover up to 31 days. The Time & Activity guide covers each option in detail.

What does Member Timing show?

Time & Activity tells you how much. Member Timing tells you on what. It is the report to open before a one-on-one.

The table lists each member with their Total time, highest total first. Click a member to see their projects. Click a project to see its tasks. Click a task to see the dates the time was tracked on.

It opens on the last 7 days, which suits a weekly check, and has a date range and a member filter but no export.

What to look for

  • Time on the wrong project. If your priority project is third on someone's list, the plan and the week did not match.
  • One task absorbing the week. A single task with most of a person's hours is often a blocker nobody mentioned.
  • Very uneven totals. Compare the top and bottom of the list before you assign next week's work.

What does the App Usage report show?

App Usage lists the applications your team used while tracking, with the Time spent in each.

The report opens grouped by app, and you can switch to Group by Date or Group by Member. Each grouping opens further:

  • Group by App: the app, then the members who used it, then the days.
  • Group by Date: the date, then the apps used that day, then the members.
  • Group by Member: the member, then their apps, then the days.

Long lists load in pages, with a Show more button at the bottom.

What to look for

Read the top of the list and ask whether it matches the work you assigned. A design team should be in design tools, and a support team in the help desk.

Export options

Export as PDF or CSV. Summary only gives one line per group, and With breakdown includes every app, member and day. As with Time & Activity, a PDF with the breakdown covers up to 31 days. See the app and website usage feature page for how this data is collected.

What does the Websites & URLs report show?

A browser shows up in App Usage as a single line. Websites & URLs opens that line up and shows which websites the time went to.

The table has two columns, Website and Time spent. It opens on Group by Website, and you can switch to Group by Date or Group by Member. A website opens into the members who visited it, and each member opens into the days. Grouped by member, you can go one step further and see the pages a person visited on a site that day. The filters match App Usage: a date range and a member dropdown.

What to look for

  • The top five sites. They should be the web tools your team works in, such as your code host, your docs or a client's admin panel.
  • Research-heavy weeks. A lot of time on reference sites often means someone is learning a new area and may need help.
  • One person behind one site. Open the site row to see whether the time is spread across the team or belongs to one member.

Export options

PDF or CSV, as Summary only or With breakdown. The breakdown matches the report on screen: websites, members and days.

What does the Low Performers report show?

The name sounds harsh, but Low Performers is a ranking that starts from the bottom, so the people who may need support are on the first screen.

The table has five columns: Rank, Member, Activity Percentage, Average Time and Total Time. Average Time is the member's total divided by the number of days they tracked on in the range.

A dropdown sets what the ranking is based on: Time & Activity, Time or Activity. The same page exists the other way round as Top Performers, with the same columns and filters. The performer reports guide explains both.

What to look for

  • Low time, normal activity. Usually part-time hours, leave, or a late start to the week. Check the calendar before you worry.
  • Normal time, low activity. Often meetings, reading or calls. Ask what the week looked like.
  • The same name three weeks running. That is the signal to act on.

Keep one limit in mind: a member who tracked nothing in the range does not appear at all. Compare the list with Active Members in Time & Activity.

Export options

Export the ranking as PDF or CSV. The CSV lists the organization name and the period above the same five columns.

How do you run a 10-minute weekly review?

Pick a fixed slot, such as Monday morning for the week before, and run the reports in this order:

  1. Open Time & Activity, set Last 7 Days, and note Total Worked Time, Average Activity and Active Members.
  2. Switch to Group by Project and check that the hours match your priorities.
  3. Open Member Timing and expand the rows of anyone whose total surprised you.
  4. Scan the top of App Usage and Websites & URLs for anything that does not fit the work.
  5. Finish on Low Performers, then glance at Top Performers so you know who to thank.
  6. Export what you need for your own records or for a client update.

Frequently Asked Questions

Can I export TimoDesk reports to PDF or CSV?

Yes. Time & Activity, App Usage, Websites & URLs, Top Performers and Low Performers all export as PDF or CSV, and the file follows the dates and filters you set. Member Timing is the exception: it has no export and works as an on-screen view.

Can team members see each other's reports?

No. Members without a management role see only their own data in Time & Activity, App Usage and Websites & URLs. They have no member filter and cannot open Member Timing or the Performance pages, which are for organizers, business managers and team managers.

What is the difference between Time & Activity and Member Timing?

Time & Activity shows total time with an activity percentage, grouped by date, member or project, and it can be exported. Member Timing shows time only and breaks each member down by project, then task, then date, which makes it the better report before a one-on-one.

Does manual time lower the activity percentage?

No. Approved manual time has no activity data, so TimoDesk leaves it out of the activity average. The percentage you see is calculated only from time the desktop app measured, while the manual hours still count toward total time.

Why is someone missing from the Low Performers list?

The ranking only includes members who tracked time in the selected date range. Someone with no tracked time in that period does not appear at all, so compare the list with your headcount or with Active Members in Time & Activity.

Is there a limit on report exports?

One. In Time & Activity, App Usage and Websites & URLs, a PDF exported with the full breakdown can cover up to 31 days. Summary exports and CSV files do not have that limit, so use CSV for longer ranges.
